CONTENTS
The short version: We collect the information needed to operate the Mindzi platform, run the competition, issue certificates, communicate with participants and schools, and inform you about relevant Mindzi programmes, competitions, and educational initiatives. We do not sell your data. We do not share your personal information with third parties except where necessary to deliver the service. Children's data is handled with extra care and is collected only with parental or guardian consent.

CHILDREN'S DATA - SPECIAL NOTICE

Mindzi serves students who may be under 18. We do not allow students to register themselves. All student registrations are initiated by a parent or guardian who provides consent on behalf of the child.

By registering your child you confirm you are their parent or legal guardian and you consent to the collection and use of your child's data as described in this policy.

We do not knowingly collect data from any child without parental consent. If you believe we hold data about a child without proper consent, please contact us at hello@mindziai.com and we will delete it promptly.

This policy is consistent with India's Digital Personal Data Protection Act 2023 (DPDP Act) as it relates to the processing of children's personal data.

HOW WE USE YOUR DATA

We use the data we collect for the following purposes only:

  • To process pre-registration and registration
  • To send payment links when registrations open
  • To provide access to the study platform
  • To administer the competition across all rounds
  • To calculate rankings and generate certificates
  • To produce school performance reports for school coordinators
  • To send competition-related communications - schedules, results, certificates
  • To improve the platform based on anonymised usage patterns
  • To comply with legal obligations under Indian law

We do not sell or rent your personal data to any third party. We do not use children's personal data for advertising, profiling, behavioural targeting, or commercial targeting.

We may occasionally inform parents, guardians, schools, and educators about Mindzi or related educational programmes, competitions, learning resources, events, certifications, or services that may be relevant to them. Recipients may opt out of these communications at any time.

WHO WE SHARE DATA WITH

We share data only in these limited circumstances:

  • Payment processor (Razorpay): When you complete payment, your transaction is processed by Razorpay. We share only what is necessary for the transaction. Razorpay's own privacy policy governs their handling of payment data.
  • Email service provider: We use a third-party service to send transactional emails. They process email addresses on our behalf under a data processing agreement and do not use this data for any other purpose.
  • Technology and platform service providers: We may use trusted third-party providers for hosting, cloud storage, security, analytics, email delivery, communications, and platform operations. These providers process data only as necessary to provide services on our behalf and are not permitted to use the data for their own purposes.
  • School coordinators: Coordinators may access student names, participation status, rankings, scores, certificates, and school performance reports relating only to students registered through their school. Parent contact information is not shared with school coordinators unless specifically authorised.
  • Legal requirements: We will disclose data if required to do so by Indian law or a valid court order.

We do not share individual student data with any other organisation, school, or third party.

COMPETITION RESULTS, LEADERBOARDS & RECOGNITION

As part of the competition, Mindzi may publish competition results, rankings, leaderboards, certificates, school standings, winner announcements, and related recognition materials.

This may include a student's name, school name, city, ranking, percentile, score, achievement, certificate, or award category.

Photographs, videos, testimonials, or student work will only be published where appropriate consent has been obtained from the parent, guardian, school, or participant, as applicable.

We will never publish personal contact information, residential addresses, payment information, or other sensitive personal data.

HOW LONG WE KEEP YOUR DATA

  • Pre-registration data: Until you complete registration, withdraw consent, or request deletion of your information.
  • Registration and competition data: For 3 years after the competition year in which the student participated. This allows certificates to be re-issued if lost.
  • School registration data: For as long as the school remains a partner, plus 1 year after the relationship ends.
  • Technical / usage data: Retained in aggregate, anonymised form for platform improvement. Individual session data is deleted after 90 days.

YOUR RIGHTS

Under the DPDP Act 2023 and applicable Indian data protection law, you have the right to:

  • Access the data we hold about you or your child
  • Correct inaccurate data - particularly the child's name as it appears on the certificate
  • Request deletion of your data
  • Withdraw consent for communications at any time
  • Receive a copy of your data in a portable format
  • Raise a grievance if you believe your data has been mishandled

To exercise any of these rights, email hello@mindziai.com with the subject line "Data Request". We will respond within 30 days.

Parents or guardians may withdraw consent at any time. Withdrawal of consent may affect our ability to provide competition participation, platform access, certificates, rankings, or related services.

DATA SECURITY

We take reasonable technical and organisational measures to protect your data. The platform uses HTTPS encryption. Access to student data is restricted to authorised Mindzi team members only. We do not store payment card details - all payment processing is handled by Razorpay.

No data transmission over the internet is 100% secure. We cannot guarantee absolute security but we are committed to protecting your data to the best of our ability.

COOKIES

We use essential cookies to keep you logged in and remember your session. We do not use advertising cookies or tracking cookies from third parties.

You can disable cookies in your browser settings but this may prevent the platform from functioning correctly.

CHANGES TO THIS POLICY

If we make material changes to this Policy, we may notify registered users by email, through the platform, or by posting a prominent notice on the Mindzi website. The current version is always available at mindziai.com/privacy.

Where required by applicable law, we will seek fresh consent before processing personal data for materially different purposes than those described in this policy.
